At Quince Traditions ("Site," "we," "our," or "us"), your privacy is very important to us. This Privacy Policy explains how we collect, use, and protect your information when you visit our website, leave comments, download freebies, subscribe to our newsletter, purchase products, personalize a design in our online editor, or use our event management and RSVP platform services. This policy covers both quincetraditions.com and quinceinvitation.com, which is owned and operated by Quince Traditions LLC.

Information We Collect

Personal Information (provided directly by you)

  • Contact Details: Name, email address, and any other details you provide when signing up for our newsletter, downloading freebies, or contacting us.
  • Billing Information: Name, address, and payment details when you purchase products or platform services through our shop.
  • Shipping Information: Name, shipping address and phone number when you order printed products.
  • Design Information: The wording and details you enter when you personalize an invitation or card, such as names, dates, places, phone numbers and QR code links.
  • Guest Information: Name, email address, and phone number submitted through RSVP forms on quinceinvitation.com.

Non-Personal Information (collected automatically)

  • Technical Data: Browser type, device details, IP address, and browsing activity through cookies and analytics tools.
  • Usage Data: Aggregated data about how visitors use our site (e.g., most viewed blog posts, downloads, clicks).

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, as well as the visitor's IP address and browser user agent string to help with spam detection. An anonymized string created from your email address may be provided to the Gravatar service to see if you are using it. After approval, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the site can download and extract location data from images.

Cookies & Local Storage

Our site uses cookies and similar technologies to:

  • Preferences: Remember your settings and cart items.
  • Performance: Improve loading speed and site performance.
  • Analytics: Track which pages are most popular and how visitors find us.
  • Authentication & Security: We use cookies and local storage to keep you logged into your event dashboard (via Firebase) and to protect against unauthorized access to your account.
  • Your Designs: Our online editor stores a private link to your design in your browser's local storage so you can return to it. Clearing your browser data removes it; your design can still be reached from the email we send after purchase.
  • Affiliate Referrals: If you arrive through an affiliate link, a cookie records the referral for 60 days so the affiliate can be credited.
  • Comments: If you leave a comment, you may opt-in to saving your name and email in cookies for your convenience. These last for one year.

Embedded Content from Other Websites

Articles on this site may include embedded content (e.g., YouTube videos, images). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These sites may collect data about you, use cookies, and monitor your interaction.

Data Sharing & Third-Party Service Providers

We do not sell or rent your personal information. We share information only with trusted third parties to operate our site and fulfill services:

  • (To be determined): to process card payments securely. We never see or store your full card number.
  • Production partners (Gelato for invitations and cards; Printonic for other printed products; ShineOn for jewelry, wallets and blankets): to make and ship your order. We share your print file or design details (such as engraving or message card wording), name, shipping address and, where the carrier needs it, your phone number and email address. They use it only to produce and deliver your order.
  • Shipping carriers: your name and address are passed to the carrier that delivers your order, such as USPS.
  • Google Cloud and Firebase: to run our online editor, save your designs, and create your print and download files.
  • Google reCAPTCHA: to protect our site and editor from spam and abuse. Your use of reCAPTCHA is subject to Google's Privacy Policy and Terms of Service.
  • Affiliate tracking (SliceWP): to credit affiliates for referrals. Affiliates do not receive your personal details.
  • Email Marketing (e.g., Sender): to deliver newsletters and freebies if you opt in.
  • Analytics (e.g., Google Analytics): to understand site performance.
  • Twilio: To provide SMS event updates and RSVP-related notifications to guests who have proactively opted in.
  • Scaleway: To send transactional emails such as RSVP confirmations, event reminders, and system notifications.

Personalized Designs

When you personalize an invitation or card, your design is saved to our secure cloud storage so you can come back to it. A private link to your design is kept in your browser's local storage. You do not need an account.

  • Unpurchased designs are kept for up to 90 days and then may be deleted.
  • Purchased designs and their files are kept for 2 years after your order so you can download them again or reorder. You can ask us to delete them sooner.
  • We do not use your wording, names or event details for marketing, and we never show your personalized design publicly without your permission.

SMS Messaging & Email Communications

SMS Privacy

We use Twilio to deliver SMS messages related to event updates, RSVP confirmations, reminders, and event-specific links (such as album passcodes and photo upload links). These numbers are collected via RSVP forms on quinceinvitation.com where guests must proactively check an opt-in box. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All of the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. We collect your phone number only to provide event-related services as requested. You may opt out at any time by replying STOP to any message.

Email Data

We use Scaleway to send transactional emails. When you provide your email address through an RSVP form or registration, that information is used solely for event-related communications and is processed by Scaleway in accordance with their security standards. We do not sell or rent your contact information to third-party marketers.

Guest Platform (quinceinvitation.com)

Quince Traditions also operates quinceinvitation.com, a guest-facing portal used exclusively to publish event invitation pages, collect RSVPs, display passcode-protected photo albums, and accept photo and video uploads from guests via personalized links. On that site we may collect:

  • Name and contact information submitted via RSVP form.
  • Mobile phone number, if SMS opt-in is selected.
  • Photos and videos voluntarily uploaded by guests via their personalized upload link.

Photos and videos submitted by guests are stored securely using Firebase and are accessible only to the event host and guests who have received the album passcode. Quince Traditions does not use guest-uploaded media for marketing or any purpose beyond event hosting.

How Long We Retain Your Data

  • Comments: Retained indefinitely.
  • Order Records: Kept as long as legally required for tax and accounting purposes.
  • Shipping Details: Kept with your order record, as long as legally required for tax and accounting purposes.
  • Unpurchased Personalized Designs: Up to 90 days.
  • Purchased Designs and Print Files:  2 years after the order, unless you ask us to delete them sooner.
  • RSVP & Guest Data: Retained for six (6) months following the event date, after which it is permanently deleted. This includes RSVP responses, guest contact details, and uploaded photos and videos.
  • SMS Consent Records: Retained indefinitely. This includes the guest's phone number, the date/time consent was given, the IP address of the device used, and the exact opt-in language presented. These records are kept to comply with telecommunications regulations (such as the TCPA) and may be used as evidence of consent in the event of an audit.

What Rights You Have Over Your Data

You can request an exported file of the personal data we hold about you or request that we erase your personal data (except data we must keep for administrative, legal, or security purposes). You can unsubscribe from our emails at any time via the unsubscribe link.

Children's Privacy

Our site does not knowingly collect personal information from children under 13. If we discover we have collected such data, we will delete it promptly.

International Visitors

If you access our site from outside the U.S., your data may be transferred to and processed in the U.S. By using our site, you consent to this transfer.
